Automated inheritance document checks: 80% less handling time at a major bank

A major Italian bank now checks the legal documents in inheritance files automatically against the data it already holds, using Azure Document Intelligence and an LLM. Standard checks run with no human involved. When a check fails, the file goes to an operator with the reason attached. Handling time fell by 80%.

Key numbers

−80%handling time on inheritance document checks

The problem

When an account holder dies, the bank receives a file of legal documents (wills, declarations, IDs, signatures). Operators had to compare each one by hand with the customer data already on record. The work was slow, repetitive and error-prone, and every decision had to stay auditable.

What was built

A pipeline extracts the content of each legal document, signatures included, and checks it against the bank's records. If every standard check passes, the file moves on with no manual step. If a check fails, the file goes to an operator with the specific reason, so the operator only looks at that one discrepancy. I handled design and backend in a team of 3.

Architecture and stack

  • Azure Document Intelligence for OCR and layout extraction
  • LLM on Azure OpenAI, inside the client's EU cloud, to read and compare the fields
  • Rules engine for the validation checks, and signature recognition
  • Integrated with the bank's existing systems, with an audit trail on every production document and no sensitive data in logs

Results

  • −80% handling time on inheritance document checks
  • Standard cases close with no human involved, and exceptions arrive with an explicit reason

What it means for your company

The same pattern fits any process where you check documents against data you already hold (KYC, successions, mortgages, claims): extract, compare, approve the clean cases automatically, and send the exceptions to a person with the reason. Your people only handle the exceptions.

Frequently asked questions

Can AI check legal documents against your records?

Yes, for structured checks. In this project Azure Document Intelligence extracts the content and an LLM compares it with the data the bank holds. Standard checks run automatically. Anything that fails goes to an operator with the reason, so a person still makes the final call on every exception.

How much time does automating inheritance checks save?

At a major Italian bank, handling time for inheritance document checks fell by 80%. Standard files clear automatically, and for each exception the operator gets the specific reason, so nobody re-reads the whole file anymore.

What happens when the AI isn't sure?

Nothing is approved by default. When a check fails, the file goes to a human operator with the reason it failed. The system automates the clean cases and escalates everything else, so it never has to guess.

Does it meet compliance requirements?

The models ran on Azure OpenAI inside the client's EU cloud environment, sensitive data never went into logs, and every production document had an audit trail. If your process is regulated, design these controls in from the start, because you can't add them afterwards.
